Parts Sales Representative

Full-Time Lake City, Michigan


Purpose:

This is an entry level parts sales and warehouse role that requires the individual to perform a variety of customer service and stocking duties related to the parts sales that contribute to the efficient, safe, and profitable operation of the parts department. They will assist customers by properly identifying needed items, using electronic parts catalogs and other available resources. They will merchandise and invoice based on company guidelines. 

 

Responsibilities:

  • Assist in keeping parts department clean and professional. 
  • Record all sales (including lost sales) and/or customer transactions using Company provided systems/tools and guidelines. 
  • Assist in maintaining the retail sales floor and displays to meet or exceed the dealerships standards and ensure customer satisfaction. 
  • Take a proactive approach to inventory control by assisting and or reporting discrepancies. 
  • Ensure internal and external customers receive the correct parts in a timely manner. 
  • Proactively study and stay current on industry and product information. 
  • Mark and store parts in stockroom according to prearranged system and assist with cycle count duties. 
  • Perform all other duties as assigned by management in a professional and efficient manner. 
  • Participate in team UNITY meetings to promote unity and foster teamwork between departments.
  • Must attend periodic meetings with senior leadership to obtain direction and guidance on company goals
  • Support management in the pursuit of corporate policies, plans, goals, and long-term objectives.

  • Participate in all business and/or department activities related to ensuring the customer experience is positive.

Experience, Education, and Skills:

  • Retail parts sales experience is preferred, but not required.
  • High School Diploma or GED equivalent is required. 
  • Parts training or industry experience is preferred. 
  • Basic understanding of mechanical and technical terms. 
  • Basic knowledge of parts operating systems preferred. 
  • Ability to work with various computer software packages, including Microsoft Word, Outlook and Excel. 
  • Strong organizational skills.
  • Interpersonal skills are needed when dealing with customers and co-workers. 
  • Should be service oriented and always be willing to assist the customer.

 

Essential Eligibility Requirements:

  • Forklift Certification preferred. 
  • Valid Driver’s License

  1. General Physical Requirements:
  • Light work: Exerting up to 20 pounds of force occasionally and/or negligible amount of force constantly to move objects. Reaching, Standing, Walking, Lifting, Fingering, Grasping, Feeling, Talking, Hearing, and Repetitive Motions.
  1. Visual Acuity:
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading; visual inspection involving small defects, small parts and/or operation of machines (includes inspection); using measurement devices; and/or assembly of fabrication of parts at distances close to the eyes.
  • The worker is required to have visual acuity to determine the accuracy, neatness, thoroughness of work assigned or to make general observations of facilities or structures.
  • The worker is required to have visual acuity to operate motor vehicles or heavy equipment.

 

Job Specific Competencies:

Parts Transfer: Efficiently manages the process of completing Parts transfer requests and receiving incoming transfers. Ensures accurate documentation, verifies Part numbers and quantities, and demonstrates attention to detail. 

Equip Invoices: Proficiently navigates the EQUIP system to accurately process and complete invoices. Ensures all necessary details are entered correctly and maintains data integrity. This employee is self-sufficient in EQUIP and there are no recurring mistakes.

Work Order Completion: Consistently places the correct Parts on work orders, ensuring all items are accurately recorded and allocated. Demonstrates attention to detail and timeliness to support smooth Service operations and minimize delays. Maintains clear communication with the Service team to address discrepancies. This employee does not make recurring mistakes while completing this process. 

Outstanding Open Orders: Proactively manages Parts Sales orders to ensure no orders remain open beyond 30 days. Monitors order status regularly, resolves issues promptly, and communicates with customers and colleagues as needed to complete transactions. Takes accountability and addresses any delays. 

Customer Satisfaction Score: Customer satisfaction score of 85% or greater.

JDU Completion-Parts:  All JDU, and CDI taught classes completed by the expected due date. This employee demonstrates a strong drive for continuous learning and seeks to grow their knowledge in the Parts department. 

Attitude: Consistently demonstrates a positive, professional, and proactive attitude in the workplace. Maintains a constructive approach to challenges, contributing to a supportive and collaborative environment. Displays enthusiasm, adaptability, and a willingness to assist others.

Neat, Clean, Organized (NCO): Maintains a well-organized workspace, ensuring that all items are stores appropriately and easily accessible. Consistently upholds cleanliness standards to create a safe, professional, and efficient working environment. Demonstrates pride in work areas by regularly organizing.
